How to Check Application Status

To access the Secured Search, go to the CTC Online Login Page.

What Does My Application Status Mean?

Pending Evaluation

The application has been received by the Commission and is in queue to be evaluated by a Certification Analyst. Note that an application will remain at the "Pending Evaluation" status for the majority of the time until processing is complete.

Fingerprints Pending Evaluation

The application has been reviewed by a Certification Analyst and all academic requirements have been met. Processing will be complete once the Commission receives the fingerprint information needed to complete the professional fitness review.

Returned for Additional Information

The application has been reviewed by a Certification Analyst and it was determined that additional information is needed in order to qualify for the document requested. For more information, please refer to the "My application is missing something" section on this page.

Pending Additional Evaluation

An application that is reflected as pending additional evaluation has met academic requirements and has been forwarded to the Commission’s Division of Professional Practices (DPP) for review, as a result of the following:

Processing will be complete once the Commission completes the professional fitness review.

How long will it take DPP to process my application?

Applications pending additional evaluation are not subject to the maximum processing time of 50 days (California Code of Regulations, Title 5, 80443) and may be delayed by a DPP review, fingerprint card processing, or a Commission appeal.

To expedite processing times, provide applicable court, arrest, and other supporting documentation pertaining to the misconduct warranting review upon application submission. Processing of any application will proceed once the review has been concluded. For more information, please refer to the Professional Fitness Questions/Applications page.

My Application is Missing Something

If you realize you have forgotten to include something in your application packet you will need to wait until the application has been evaluated and you receive an official letter requesting additional information. DO NOT send materials to the Commission separate from your application packet unless they are accompanied by the letter requesting additional information. This process ensures that your documentation does not get lost and is matched up to the correct application packet.

Application Status Change

If your application is evaluated and it is determined that additional information is needed to qualify you, your online application status will change from Pending Evaluation to Returned for Additional Information

Email/Mail Letter

The Commission will also send you an email to the address on file, and a letter via mail that outlines the required materials and explains how you should submit them. You will have 60 days from the date the letter is mailed to provide the requested materials.

Failure to submit the required materials within this 60-day timeframe will result in the expiration of your processing fee and you will be required to re-submit a complete application packet.

Note: If the letter is not received more than 10 business days after the application status changes to "Returned for Additional Information", please contact the Commission.

Why Can't I See My Application Online?

Intake Process

Paper applications must go through an intake process (received, sorted, payment cashed, and data entry) before they are viewable online. If your check has been cashed, your application has been received and is going through the data entry phase. During the highest workload season, this process may take a few weeks.

Invalid Email Address

When the data entry process is complete and your application is viewable online, the Commission will send an email notification to the address on file. If the email provided is not valid or if you are no longer able to access the email account, this notification will not be received.

Application Fee Not Received

When a paper application is received without the appropriate Application Fee, the application is deemed incomplete. The Commission’s Intake Unit will send a letter requesting the missing fee.

How Long Does it Take to Process An Application?

Processing times fluctuate throughout the year and are highest during the summer months. Applicants who need to have their application processed for employment purposes should submit their application no less than three months prior to applying for or beginning a position.

Paper applications

Paper applications mailed directly to the Commission are typically processed within 50 business days, providing that no additional background or professional fitness review is required.

Online renewals or recommendations

Online renewals or recommendations submitted from an approved program are typically processed within 10 business days providing that no additional background or professional fitness review is required.

How Can I Speed Up the Processing of My Pending Application?

Paper applications are processed in the order they are received and unfortunately, there is no way for an educator to speed up the processing time.

Expedited Application

Under special circumstances, the employing agency may request to expedite the processing of an application if an educator's pay or employment is at risk.

Expedite requests must be submitted via email by the employing agency and must include the required expedite form. The form is available online, only to employers. Please contact your employer to inquire about their ability to request that your application be expedited.

Note: The Commission cannot guarantee that an application will be processed by a certain date, but will make every effort to accommodate expedite requests.
